Each column is one hour of San Francisco's day (23 or 25 on a daylight-saving change); the cells show every city's local time at that moment.

Quick answer

Add the cities of everyone in the meeting and the planner highlights the window when all of them are inside 09:00–17:00 on an overlap dial, adjusted for daylight saving and half-hour time zones.

  1. Use Add a city for each participant's location.
  2. Read the overlap dial, or look for slots marked Works for everyone.
  3. Step through days with Previous day and Next day.

How to use it

  1. 1

    Add your cities

Search for each participant's city to add it as a row. The first city sets the day shown.

  2. 2

    Read the overlap dial

Each ring is one city's day. The highlighted wedge is when everyone is inside 09:00–17:00, with each city's local times listed under it.

  3. 3

    Pick an hour

Click a column in the grid. Columns ringed in the accent colour are at least early or late for everyone, never night.

  4. 4

    Copy the times

Copy the chosen time in every city, with dates, to paste into an invite.

Frequently asked questions

What do the colours mean?

Green is working hours (09:00–17:00), amber is early morning (07:00–09:00) or evening (17:00–21:00), and grey is night. The ratings use exact local minutes, so 13:30 in India is rated like 13:30 anywhere. A ring around a column means every city is at least in the amber range.

How is the overlap worked out?

For each city the planner takes its 09:00–17:00 working day, including the day before and after so nothing is lost at midnight, and finds the time that falls inside all of them on the first city's day. New York and London share 13:00–16:00 UTC in July; San Francisco, London and Bengaluru share no working hours at all.

Which city sets the columns?

The first city in the list. Each column is one hour of its day, and every cell shows the local time in the other cities at that same moment, with minutes for half-hour zones such as India or Newfoundland.

Does it handle daylight saving?

Yes. Offsets are worked out for the exact day and hour shown. On the day the clocks change the first city's day really is 23 or 25 hours long, and the grid shows 23 or 25 columns; the hour repeated when the clocks go back appears twice.

What does the weekend tag mean?

The city is on its weekend at the chosen time. Weekends follow each country, so Friday–Saturday in Saudi Arabia or Egypt and Saturday–Sunday in most places. On the dial its ring is shown faded and dashed.
